Office
Duties
President
  1. Organize and participate in AFW Officers’ meetings and attend AFW meetings.
  2. Run business meetings.
  3. Introduce most member meetings.
  4. Distribute initial formal contact of new members (via e-mail).
  5. Handle correspondence (thank you notes, e-mails), phone calls, emails, etc.
  6. Form AFW committees (Graduate Student Awards Selection Committee, Graduate Student Awards Presentation Committee, Sam Smith Leadership Award Committee, and others).
  7. Arrange for AFW representation on the Commission on the Status of Women, nominations committee for the Woman of the Year and Woman of Distinction Awards, and others, as needed.
  8. Organize (and staff) booths for the new faculty orientation fair and diversity celebration.
President-elect
  1. Chair the AFW Nominations Committee and serve on other committees, if needed.
  2. Serve as President the following year.
  3. Attend and participate in AFW Officers’ meetings and AFW meetings.
Secretary
  1. Two weeks prior to each meeting create and send out  meeting notices (3 emails to afw list serve and  3 notices via WSU announcements).
  2. Update the afw and membertalk  list-serves in late September when the membership list is complete.
  3. Do list serve updates when a member sends a change request or  when the treasurer notifies you of new member(s).
  4. Send out the roster to the membership  Fall semester.
  5. ‘Take minutes at each officer meeting and post to the member talk list serve.
  6. Attend and participate in AFW Officers’ meetings and AFW meetings.
Treasurer
  1. Accept members’ dues and payments for each meeting.
  2. Prepare and update the list of members.
  3. Compile the list of attendees for the President’s reception.
  4. Accept and acknowledge RSVPs from members.
  5. Contact Local Arrangements representatives with number and names of people attending each meeting.
  6. Pay bills (to caterer, local arrangements for supplies, etc.).
  7. Take money to bank each month; renew CDs.
  8. Prepare the treasurer’s report (year-end, or more often if needed).
  9. Attend and participate in AFW Officers’ meetings and AFW meetings.
Program chair
  1. Book final dates and locations for monthly meetings (including arranging for volunteer’s homes).
  2. Make speaker contacts/confirmation.
  3. Arrange for AV equipment needs.
  4. Chair the program portion of most meetings.
  5. Attend and participate in AFW Officers’ meetings and AFW meetings.
Local arrangements

NOTE: This job requires showing up early and leaving late (meaning last) for every monthly meeting.

  1. Purchase appropriate quantity of beverages of suitable variety, cups, napkins, etc.
  2. Bring the above to and from meetings.
  3. Obtain a banquet permit (“liquor license”) from the State liquor store, if necessary.
  4. Caterer arrangements – collect head count, choose menu (remember vegetarian options), submit order. Confirm delivery time/location. Meet caterer at venue (usually ~30 min. prior to start of meeting) or pick up food from the caterer and bring it to the meeting site.
  5. Set up food & beverages, utensils, etc. at meeting site.
  6. Clean up after meeting – discard/recycle empties, collect & bag garbage, wipe down tables, etc.  In the Alumni Center, we are responsible for hauling all garbage out to the dumpster.
  7. Arrange for and work with monthly meeting helpers.
  8. Make sure meals run smoothly
  9. Attend and participate in AFW Officers’ meetings and AFW meetings.
Web master
  1. Keep the web site content current.
  2. Update calendar information shortly after each meeting.
  3. Find and post information of potential interest to members.
  4. Update officer information yearly.
  5. Update Awards pages shortly after each award program.
  6. Be sure that the web site had a pleasing appearance and functions efficiently (to users using the common browsers at least).
  7. Attend and participate in AFW Officers’ meetings and AFW meetings.
Liaison to the Provost
  1. Arrange for regular meetings with the Provost to discuss and promote issues of importance to AFW.
  2. Attend and participate in AFW Officers’ meetings and AFW meetings.
